POSITION: PROGRAMS MANAGER

SCOPE OF WORK

  • Identify partnership and funding opportunities and promote relationship building among OGERA and other organizations, agencies and /or individuals.
  • Develop power point presentations and other materials for use during program related events.
  • Identify technology tools to enhance and support OGERA’s capacity and programs.
  • To participate in long and short term program development and planning.
  • Develop and effectively manage program timelines to ensure timely completion program deliverables.
  • Monitor program activities to ensure quality and accuracy of OGERA work out comes and grant commitments.
  • Manage and coordinate programmatic meetings including managing logistical contractors.
  • Facilitate small and large group meetings and trainings.
  • Manage budgets,allocate resources and supplies as to ensure staff and volunteers can complete their responsibilities to their highest potential..
  • Develop publications, grant applications and timely reports.
  • Serve as programmatic liaison to external partners, including representing OGERA at national, regional and local meetings.
  • Develop written and online tools for programmatic use including survey and evaluation instruments.
  • Adhere to OGERA’s administrative and record keeping guidelines to support accurate book keeping and documentation of activities.

Experience and skills

  • Post graduate degree in project management and planning or related discipline.
  • A computer literate (Microsoft word, Excel, Email and databases)
  • Utilize essential interpersonal, communication and listening skills.
  • Advocate, recognize, embrace and support change.
  • Listen to the needs of the organization target group.
  • A strong understanding of public health practice.
  • Ability to work with diverse individuals and groups on complex community issues.

 POSITION: FINANCE & ADMINISTRATION MANAGER

SCOPE OF WORK

Responsibilities

  • To manage the organization’s financial affairs including management and statutory accounts together with longer term financial projections and to ensure that the most efficient and effective financial control systems and reporting mechanisms are in place.
  • To prepare quarterly management accounts, projections and other relevant reports in consultation with the Executive Director for presentation to the board of Directors and funding bodies.
  • To prepare the year-end financial accounts for audit and to liaise with the Auditors prior to sign-off.
  • To manage staff contracts in conjunction o manage staff contracts, prepare salary sheets, payments and records in consultation with the Executive Director.
  • To deal with the organization’s bank in respect of payments and receipts, foreign currency rate and ensure that all bank accounts and statements are regularly reviewed.
  • To efficiently manage all external contracts and to ensure that all the organization’s expenditure is correctly authorized and accounted for.
  • To ensure the overall smooth running of the organization’s internal administration and it’s cost –effectiveness.
  • To support/oversee logistic arrangements for project activities and travel.
  • To keep accurate and complete record of financial transactions in the computerized accounting system.
  • To maintain proper filing of vouchers and back up documents and safe storage of cheque books and banking documents.
  • Responsible for managing an efficient working office environment including management of office accommodation, equipment, supplies, office health and safety.
  • Supports the Executive Director in the provision of Finance reports for Board meetings.
  • A signatory to the Organization bank account.
  • Provide frontline response to office inquiries from members and provide administrative advice and support to the staff as appropriate.
  • Administration of all invoicing and payments, the purchaser order system, debtor and creditor tracking and monthly bank reconciliation.
  • Provide monthly management accounts to the Executive Director and relevant budget reports to staff upon request.
  • Any other tasks assigned by the Executive Director.

 Experience and Qualifications

  • A bachelor’s degree in business administration, or business studies or management with specialization in finance and accounting.
  • Experience in the financial and administrative operations.
  • Experience of managing staff and associated employment issues.
  • Sound knowledge of accounting procedures and principles.
  • Successful track record of managing operations and financial and management accounting.
  • Experience of managing resources.
  • Must be a woman Refugee/ LBT/WSW active or former sex worker.

 POSITION: COMMUNICATIONS AND ADVOCACY OFFICER

Scope of work

  • Write announcements, News posts, support the design and development of digital content and communications.
  • Help to develop and maintain a strategy / schedule for communications.
  • Conduct ongoing reviews of the OGERA Website to ensure accurate and timely engaging content.
  • Write summary reports for OGERA Workshops, meetings, dialogues and conferences.
  • Contribute to the development and production of OGERA’s policy papers, reports, press releases as well as letters and other communications to stake holders including media, policy makers, health service providers, partners and members.
  • Identify online trends and help execute social media activities.
  • Develop media plans and support media relations.
  • Track and compile metrics and audits for our Website traffic, downloads and campaigns.
  • Provide support for database updates and distributional lists.
  • Conduct other duties as needed and requested by the Executive Director.
  • You will report directly to the Executive Director and work in collaboration with the Programs manager and Liaison officer.

Qualifications

  • Excellent writing, editing, presentation advocacy and communication skills.
  • Ability to make complex ideas understandable and to use story telling techniques appropriate to specific audiences.
  • Experience in generating and maintaining website content and publishing Newsletters.
  • Experience with social media tools and analytics software.
  • Good attention to detail, take initiative, ability to plan and function independently.
  • Demonstrated ability to work under pressure and to meet tight deadlines.
  • Post-secondary education and experience with the non-profit organization and knowledge about issues concerning LGBTI/Sex workers.
  • Proficiency in Microsoft office, Word press and mail chimp.
  • Is conscientious and efficient in meeting commitments, observing deadlines and achieving results.
  • Minimum of two years relevant experience is considered an asset.
  • Ability to deliver oral presentations to various audiences.
  • Remain calm in stressful situations.
